SFERA trade procedure
From enquiry to completion in five stages
This guide sets out SFERA LLC's intended trade process, including your actions, SFERA's actions and the documents involved. Your trade's approved documents set its commercial and delivery terms.
Completing a requirement makes the next SFERA action available. It does not automatically issue a document, accept evidence or complete a transaction.
Stage 1Order Submission
Send your requirements, review the initial SCO and propose an evaluation meeting. Begin your KYC pack or link an existing completed pack.
Your action
Send your product, quantity, destination, delivery terms and preferred delivery window through the public Letter of Intent form, Start Trade when signed in, or portal messages and attachments. Review the SCO and product specification, confirm the SCO and propose an available evaluation meeting time.
SFERA's action
Review the request and provide the SCO with the product specification. Keep the request and related documents together in one trade record. Begin the KYC process or identify the existing completed pack for reuse.
What is needed
Your trade requirements, the SCO and product specification, a proposed meeting time, and the existing KYC pack or the information requested to begin one.
Outcome
The request is recorded and the initial offer has been reviewed. The evaluation meeting can be agreed.
Next action
Confirm the same evaluation date and time with SFERA.
Stage 2Client Evaluation
Agree and attend the evaluation meeting, complete KYC and submit the requested proof of funds before offer and contract preparation.
Your action
Agree the meeting date and time with SFERA, attend the evaluation and complete the requested KYC documents. After evaluation, submit the requested proof of funds, such as a bank statement, balance video or bank letter.
SFERA's action
Confirm or reschedule the meeting with you, provide reminders and share a meeting summary. Request proof of funds after evaluation and complete the KYC review using the applicable approved requirements.
What is needed
A meeting time agreed by both sides, the evaluation summary, completed KYC including the one-time NDA and MOU, and submitted proof of funds. A completed pack is linked to later trades; any revalidation follows the applicable approved requirements.
Outcome
Completed KYC and submitted proof of funds make the next offer-and-contract action available to SFERA. Incomplete KYC prevents progression to Stage 3. Submission does not itself mean acceptance, and no FCO is issued automatically.
Next action
SFERA prepares and issues the FCO.
Stage 3Offer and Contract
Review the FCO, submit the ICPO and complete the SPA with the appropriate signatures and SFERA confirmation.
Your action
Review the FCO and complete its required signing step, then submit the ICPO. Review the SPA, sign it as required and return it to SFERA.
SFERA's action
Issue the FCO, review and accept the ICPO, then issue the SPA. Record SFERA's signature, your signature and full execution separately, and confirm the signed contract.
What is needed
The FCO, accepted ICPO and SPA with the signatures required by the applicable documents. SPA notarisation is optional.
Outcome
SFERA's confirmation of the signed contract makes allocation preparation available. Confirmation does not itself issue an allocation.
Next action
SFERA prepares the allocation and the trade's applicable documents.
Stage 4Product Allocation and Payment
Review the allocation and available documents. Pay the amount due under the SPA and Invoice, upload proof and review APRG coverage for each received advance.
Your action
Review the allocation and available supporting documents, use any supplied verification links and report discrepancies. Make the payment due under the SPA and Invoice, then upload payment proof.
SFERA's action
Provide the allocation, applicable supporting documents and Invoice. The Invoice states the amount, currency, due date and payment details and instructions from the SPA. Record received payments separately from proof uploads and provide linked APRG coverage for every received advance, whether an agreed full or part payment.
What is needed
The allocation and Invoice; supporting documents that apply to the trade; proof of payments made; and APRG coverage records linked to each received advance. Export licence and certificate of origin may be required individually, together or neither, according to the trade. An SGS report is provided where applicable.
Outcome
Allocation, documents, received payments and advance-payment coverage are recorded as separate items. Optional export documents and notarisation do not create automatic portal-stage gates. Independently applicable compliance requirements still apply.
Next action
SFERA prepares shipment under the trade's applicable authorised requirements.
Stage 5Shipment and Completion
Follow the shipment, record receipt and inspection, report discrepancies and settle any balance due under the SPA before completion is recorded.
Your action
Review the shipment documents, record receipt and inspection of the goods, and report any discrepancies. Pay and upload proof of any balance due under the SPA.
SFERA's action
Start and record shipment under the applicable trade requirements and provide the shipment documents. Confirm the relevant payments, handle any applicable trade-specific commission under its agreement and record completion.
What is needed
The applicable shipment documents, receipt and inspection information, any discrepancy records, and evidence of any balance payment required by the SPA. If another advance is received at this stage, it also needs linked APRG coverage.
Outcome
Delivery, inspection, payments and any outstanding issues are recorded. SFERA records completion when the applicable trade requirements are met.
Next action
Keep the completed trade documents and linked KYC pack for reference.
